Agency Mart Coordinator                                                                              


Working in our Agency Mart, which is the first point of contact for our Partner Agencies when they pick up their orders and offers additional products for Agencies to choose. 

  • Coordinate agency orders including agency order pick up, data entry, generate invoices, accept payments from agency representatives, post and close out daily invoices, report any discrepancies to Agency Relations Manager.
  • Greet agency reps and oversee the proper distribution of products, ensuring that agencies adhere to all Food Banks policies and procedures. 
  • Supervise senior aides and volunteers. Prepare and submit senior aides’ time sheets to Meritan.
  • Maintain a safe, clean environment, ensuring the Agency Mart facility meets Feeding America and Memphis/Shelby County Health Department guidelines.
  • Keep the Agency Mart is well stocked. Track close-dated items for appropriate distribution to agencies in a timely manner.
  • Identify agency shopping trends and make recommendations to management. Work with agency relations to promote products to agencies. 
  • Ensure that refrigeration and freezer equipment is operating properly.
  • Maintain working relationships that promote Food Bank programs. This includes maintaining positive interpersonal relationships with agency representatives, Food Bank management and staff. 
  • Other duties as assigned.


  • At least two years of  college or a minimum of four years retail experience
  • Ability to guide senior aide staff and volunteers to ensure they are working efficiently.. 
  • Ability to successfully complete Safe Food Handling certification.
  • Computer skills and the ability to work efficiently with an inventory control system.. 
  • Ability to maintain accurate and legible records.
  • Ability to communicate clearly and write legibly.
  • Ability to follow written and verbal instructions.
  • Ability to work in a diverse environment.
  • Previous forklift and pallet jack experience a plus. 
  • Acceptance of philosophy of food banking.

Shipping and Receiving Clerk

General Definition, Purpose of Work: ·This position will provide clerical and logistical support to the Operations Department of the Food Bank. The position will be required to perform both physical duties in the warehouse as well as clerical duties in an office.  The position will be subject to both hot and cold working conditions.

Shipping and Receiving:

  • Invoices product, processes transfers to Heistan maintaining FIFO.
  •   Reviews all inbound bill of lading or receipts and accurately inputs all information into inventory data base.
  •   Confirms all inbound and outbound bill of lading or receipt information and creates and prints pallet labels for all inbound receipts
  •   Answers phones and sets up delivery appointments in a professional and courteous manner
  •   Assists in reports and other documents needed for:  cycle counts,  recordkeeping and audits
  •   Assists in resolution of problems with inventory, cycle counts, logistics and scheduling issues as needed.
  •   Assists in other warehouse and salvage duties as necessary.
  •   Assist in providing information and direction to volunteers.
  •   Assist in loading, unloading and process of orders as necessary.


  • Coordinates with Warehouse Manager to schedule inbound/outbound freight.
  • Prepares freight manifests and posting of inventory transfers
    • Maintains up-to-date logs for review with COO, Warehouse Mana
    • Warehouse and Operational Support:
  • Monitor and maintain file requirements and compliance with all policies and procedures of Shelby County Health Department, USDA, Feeding America, OSHA, AIB and other regulatory agencies.
  • Completes and maintains files of all related paperwork for transfers to Receiving warehouse, mobile pantry and Agency Mart.
  • Completes all transactions related to receiving of inbound loads into Navision and pallet tags
  • Completes reports and files of inventory transactions and transfers
  • Maintain files of all inbound and outbound shipments.
  • Provides clerical support for Warehouse Operations Manager and others as needed and directed
  •   Performs other duties as assigned.

    Associate in administrative support or equivalent amount of training and experience.  Experience in an office environment with various computer programs.


    This is sedentary work requiring the exertion of negligible amount of force constantly to move objects, up to 40 pounds of force frequently and frequent lifting and moving objects and product requiring the exertion of up to 30 pounds of force.  Work requires stooping, reaching, fingering, grasping and repetitive motions; typing/word processing requires the ability to perform repetitive tasks involving fine motor skills. Vocal communication is required for expressing or exchanging information and instructions by means of the spoken word; hearing is required to perceive information at normal spoken word levels, and to receive detailed information through oral communications and/or to make fine distinctions in sound; visual acuity is required for preparing and analyzing written or computer data, operation of machines, determining the accuracy and thoroughness of work, and observing general surroundings and activities; the work may be subject to adverse environmental conditions in the loading and unloading of products both in and outside the warehouse.

VISTA Retail Store Donation Program Member

Duties: • Identify target stores by using the RSDP Opportunity Report provided by Feeding America • Create an onsite visitation plan. • Create a store donation toolkit used when visiting stores. • Create and maintain a contact data base. • Become familiar with the receipt process for tracking and reporting donated pounds of food. • Work with Agency Relations to establish a process for managing agencies participating in RSDP. • Establish guidelines for Food Bank staff to ensure stores are ready for driver pickups and are following donation guidelines. • Act as liaison between agencies and stores to increase donation frequency. • Develop a plan to recognize retailers, working with Food Bank communications staff for food bank newsletter, website, social media, awards, etc. • Develop and maintain a weekly activity report on donor visits and store-level interactions. • Learn and develop a program for agency personnel on the use of Online Marketplace for RSDP.

VISTA SNAP Outreach Program Members (2)

Duties : Essential Function and Responsibilities: • To work with the Director of Programs and Agency Relations Manager to develop a plan for SNAP outreach, strategies, SNAP education and training and promote it to our partner agencies. • Build and maintain relationships with Food Bank partner agencies in order to implement SNAP program to our agencies. • Learn applicable software to be able to train agency representatives how to process SNAP applications. • Maintain all activity files for education and to track client files for the SNAP benefit applications sent and approved. • Maintain contact with agencies as necessary for gathering information and resolving issues. • Monitor Federal and State policies to assess possible barriers and/or opportunities. • Maintain communication with potential referral and collaboration partners. • Track SNAP applications as part of the Food Bank's Meal Per Person in Need (MPIN) using the SNAP Calculator.

VISTA PantryTrak Development Member

Duties: • To work with the Director of Programs and Agency Relations Manager to develop PantryTrak education to our partner agencies. • Learn applicable PantryTrak program. • Build and maintain relationships with Food Bank Partner Agencies to determine which agencies have the capacity to use PantryTrak. • Work with the Agency Relations Manager to develop a plan to train partner agencies in the use of PantryTrak. • Maintain a spreadsheet or other device to track agencies that have been trained. • Maintain contact with agencies as necessary for gathering information and resolving issues. • Maintain communication with partner agencies with potential future collaboration.

Staff Accountant                                                                    

Job Summary: Responsible for various functions in support of finance as well as clerical assistance for the CFO.  Duties include processing payroll, preparing monthly journal entries and reconciliations, processing deposits and accounts payable, preparing finance and budget reports, maintaining all finance files.


Verify and code and deposit log sheets, enter into Quickbooks; file deposit checks, copies, log sheets and reports, verify deposit entries to bank statement; reconcile donations monthly to Development Department.

Open and date stamp vendor invoices, obtain appropriate approvals, code invoices according to budgeted categories, calculate allocations for shared expenses, enter into Quickbooks, run batch reports, match checks, invoices, payment stubs and payment records, mail checks, file all documentation.

Prepare and enter monthly journal entries, prepare monthly balance sheet account reconciliations, prepare and submit grant and contract invoices, prepare monthly allocations and reports.

Assist in annual budget preparation, audit and NAR reporting, and other annual reporting tasks.

Serve as backup for Receptionist, answering phones and greeting visitors.

Maintain positive interpersonal relationships with donors, volunteers, agency representatives, visitors, management, staff and board of directors.

Other duties as assigned.


Two years of college with courses in business/accounting plus 2-4 years general accounting experience.  Associates or Bachelors in accounting preferred.

Knowledge of generally accepted accounting and bookkeeping principles and procedures.

Computer skills including proficiency in Outlook, Microsoft Word and intermediate to advanced Excel and accounting software.  Quickbooks experience preferred.

Knowledge of good record keeping procedures and ability to maintain accurate records and files.

Excellent verbal, written, and interpersonal communication skills.

Organizational skills with attention to detail and ability to multi-task.

Ability to type 45 words per minute and use 10-key by touch.

Professional and pleasant demeanor with all internal and external contacts.

Motivated self-starter who can anticipate needs and handle multiple tasks in a fast-paced environment under pressure-sensitive situations.
